INTERIM GUIDELINES FOR CO-SPONSORING REGIONAL CONFERENCES

IAGP invites organizational affiliates to initiate regional conferences and to co-sponsor them with IAGP. Below are some guidelines approved by the Board of Directors, which we hope will be useful to your affiliate organization if you are interested in co-sponsoring a conference with the IAGP.

Please note that these guidelines are under review. Updated guidelines will be distributed in early 2018, following the IAGP Board of Directors meeting in Santander and may include procedural and/or financial changes. In the meantime we welcome applications from paid-up affiliate organisations which will be running events suitable for co-sponsoring from 2019.
 

Bullet AN INVITATION TO IAGP'S AFFILIATE ORGANISATIONS

1. IAGP is interested in co-sponsoring regional conferences with partner organizations in different parts of the world.

2. We invite organizations interested in co-sponsoring such conferences to send a letter of interest from the President of the organization three years before the proposed conference

3. The letter of intent should be addressed to the President and Vice President of IAGP. They will look at the IAGP calendar for the suggested term and if the conference will fit into the IAGP schedule, they will take it to the IAGP Executive Management Group and Board of Directors for discussion and decision.

4. If an individual organization can find co-sponsors from their region to support the conference organization and expense, they are encouraged to do so. Only after the approval of the Board of Directors can a Regional Conference be announced as an official IAGP event.

SOME GUIDELINES FOR PLANNING REGIONAL CONFERENCES WITH  IAGP

A. The conference program and related materials/announcements must be available in English as well as the local language.

B. IAGP takes no responsibility for the finances of regional conferences.

C. IAGP does not make any financial profit from regional conferences.

D. Organizations planning regional conferences should estimate the attendance based on the number of participants who normally attend their local conferences.

E. IAGP will not co-sponsor other events within the three months before and after an International Congress.

F. IAGP co-sponsored events will offer reduced fees to IAGP members.

G. Members of the IAGP Board of Directors and general membership will serve on the Scientific Program Committee of all co-sponsored conference.

H. The President of IAGP or a designated representative will participate in the opening ceremony and will give a Keynote speech or be featured in a major symposium.

I. If possible, IAGP will have an Executive Management Group and Board of Directors meeting at the regional conference and the host organization will provide the meeting space.

J. The host organization will provide a display table or booth for the use of the IAGP to advertise its activities and recruit members.
